From Cost Center to Strategic Resource: How Once Academic Health System Is Elevating HTM Performance

  • 150 clinics and ambulatory sites (approximate)
  • 1,000 licensed beds
  • 40,000+ clinical assets

Challenge

For many hospitals, Healthcare Technology Management (HTM) operates largely behind the scenes. Equipment gets repaired, preventive maintenance gets completed, and patient care continues with little notice of the work required to keep it that way.

One academic health system in the southwest manages a large and complex footprint: nearly 1,000 beds, roughly 150 clinics, cancer and research facilities, ambulatory sites, and over 40,000 assets. Supporting that environment requires more than traditional break-fix service. It requires coordination, technical depth, and a clear understanding of how equipment performance affects the broader organization.

PartsSource PRO Workforce gives us the power to decide what we want to do, and we can make our own choices.

        HTM Director, Academic Health System

        Solution

Under the leadership of their HTM Director, the health system has strengthened its in-house operations and adopted new tools to increase visibility, provide better training, and manage operations more effectively. The main goal is simple: to make HTM a key part of the system that not only ensures equipment is reliable but also improves overall system performance.

The health system made a conscious decision to develop internal imaging capabilities. Over an 18-month period, the team expanded its in-house imaging expertise by recruiting specialized talent and increasing technical training through PartsSource PRO® Workforce,  a solution designed to expand in-house service capacity through workforce planning, skills development, targeted training and greater technician readiness. As they moved forward, they were able to build a stronger foundation for their imaging services, providing the organization with greater flexibility to determine when equipment should remain under contract, when work could be performed internally, and when a blended approach offered the greatest value.

To strengthen day-to-day operations, the health system also implemented PartsSource PRO Asset dashboards that provide real-time visibility into equipment status. Technicians and managers now share a common operational view during daily huddles, allowing issues to be identified sooner and resources to be deployed more efficiently.

              Conclusion

This academic health system’s HTM model is still developing. The department continues to build out functions in areas such as cybersecurity and medical device integration while refining staffing models across a large and growing system.

That ongoing work reflects a larger point: there is no finished state for modern HTM in a complex health system. Equipment fleets change. Care settings expand. Technology grows more connected. Expectations rise.
